As we scale, we are looking for a highly organised, proactive Administrative / Personal Assistant to work directly with our Chairman and support the wider leadership team.

The Role: Executive / Administrative Assistant to the Chairman

This is a pivotal role at the centre of the business. You will act as the primary point of coordination for the Chairman, ensuring that his time, priorities and communications are managed smoothly and professionally.

It is a varied position that will suit someone who enjoys ownership, thrives on organisation, and is comfortable working in a fast‑paced, high‑growth environment.

Core Responsibilities

Strategic Executive Support

  • Provide day‑to‑day administrative support to the Chairman, including complex diary management, meeting coordination and deadline tracking.
  • Prioritise and gatekeep incoming requests, ensuring the Chairman’s time is focused on the most important activities.

Communication & Correspondence

  • Draft, proofread and manage emails, letters and internal communications on behalf of the Chairman.
  • Liaise confidently with senior stakeholders, partners, investors and internal teams, always representing The RLK Group with professionalism and discretion.

Documentation & Presentation Support

  • Prepare and format documents, presentations and reports for board meetings, investor sessions, client engagements and internal briefings.
  • Maintain organised digital filing systems, ensuring that key documents, contracts and slide decks are easy to locate and up to date.

Meeting & Event Coordination

  • Schedule and coordinate board meetings, strategy sessions and key external engagements.
  • Arrange agendas, circulate papers in advance, take action notes where required and follow up to ensure agreed actions are delivered.

Project & Task Support

  • Support the Chairman on special projects, which may span defence, fintech or smart‑city initiatives.
  • Assist with research, light data gathering and preparation of briefing notes to support decision‑making.

Travel & Logistics

  • Arrange UK and international travel, accommodation and itineraries for the Chairman (and occasionally other team members).
  • Anticipate logistical needs to ensure each trip or event runs smoothly from end to end.

Your Profile

We are open to candidates from a range of backgrounds, but you are likely to recognise yourself in most of the points below:

  • Experience in an administrative, PA or EA role or demonstrable transferable skills from another professional environment.
  • Excellent written and verbal communication skills, with strong attention to spelling, grammar and tone.
  • Confident user of Microsoft 365 (Outlook, Word, PowerPoint, Excel) with the willingness to pick up new tools and systems quickly.
  • Highly organised, with the ability to manage multiple tasks, priorities and deadlines without losing sight of detail.
  • Comfortable handling confidential information and sensitive conversations with tact and discretion.
  • Proactive, solution‑focused and calm under pressure – you spot issues early and quietly fix them.
  • Naturally curious and keen to understand the wider business, not just the task in front of you.

Ideal additional qualifications/skills:

  • Familiarity with Microsoft 365 and modern collaboration tools (e.g. Teams, SharePoint).
  • Strong written English.
  • Full UK driving licence is advantageous but not essential.
