About the position

We are looking for an organized and proactive Administrative Assistant to join our Digital & CX team. In this role you will provide primary support to the US Chief Digital and CX Officer, giving you a broad understanding of our business. As a trusted partner to the executive, you will be at the heart of the Digital & CX team with daily responsibilities such as calendar management, expenses and travel coordination, etc. Display your creativity, more actively, via event planning and partnering on team gathering efforts within the department.

Responsibilities

  • Manage calendar of digital & CX executive, accounting for day-to-day meetings and movements
  • Flex your ability to be agile by getting ahead of last-minute changes
  • Manage executive expenses for accurate and timely approval and payment
  • Manage local and global travel arrangements and create detailed travel itineraries, including support at all points during executive travel to ensure coordination and follow-up
  • Work closely with the company's Executive Assistants for alignment and coordination
  • Assist in meeting preparation including, technology setup, printed materials, catering/party coordination and follow-up
  • Draft and send communications on behalf of the executive as directed
  • Budget management as it pertains to travel, team outings, and meetings
  • Organize key Digital & CX leadership gatherings and overall logistics including venue selection, travel arrangements, dining, supplies, tech coordination, etc.
  • Plan and organize logistics of greater team off-site meetings, including venue selection, event flow, supplies and catering, communication, building of agenda and activities, printed materials, etc.
  • Help digital leadership team with larger meeting scheduling and catering
  • Assist digital team in gifting, vacation logs, supply ordering, office organization
  • Logistical onboarding of new team members, including supplies and tech setup
  • Coordinating many of the activities that bring together our team
  • Organizing digital files and maintaining an effective system of document management
  • Managing Microsoft Teams communications channels
  • Track milestones and celebrations; company anniversaries, birthdays, family additions, etc.
  • Actively partner on key communication planning for the department
  • Writing and coordinating timely business correspondence
  • Manage a shared Digital & CX leadership calendar
