Title: CPT-10524 Construction Operations Virtual Assistant

Independent Contractor – Business Support VA / Junior Level (Remote).

Overview

20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.

We are a U.S.-based construction company managing projects across multiple states and are looking for a dependable Construction Operations Virtual Assistant to support our back-end and administrative operations. This role focuses on documentation, permit processing, project tracking, supplier coordination, and general operational support to keep projects organized and running efficiently.

The objective of each engagement is to assist the client in improving business efficiency, enhancing service delivery, or supporting operational functions through high-quality, task-specific services rendered by a qualified contractor.

Scope of Services

Contractors will be required to provide services that align with the following client tasks:

  • Administrative & Documentation
    • Prepare and submit construction permits across various U.S. jurisdictions
    • Manage business license renewals and compliance documentation
    • Organize and maintain digital records in Google Drive

  • Project & Operations Support
    • Track active projects, timelines, and deliverables using Google Sheets
    • Maintain project documentation and warranty records
    • Handle change order requests and track related invoices

  • Financial & Reporting Support
    • Track project expenses and budgets
    • Assist with basic financial tracking and reporting
    • Handle purchase orders and supplier invoicing

  • Supplier & Materials Coordination
    • Coordinate with suppliers and vendors
    • Manage material ordering and delivery tracking

  • Customer Support & Communication
    • Answer and route incoming calls
    • Respond to customer and vendor emails
    • Coordinate with internal team members as needed

  • Additional Support
    • Assist with bids and proposals
    • Conduct basic competitor research when required


Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.


Skills

The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:

  • Tools & Systems
    • Google Workspace
    • Google Sheets (project tracking, expense tracking, budgets)
    • Google Drive (file storage and documentation)
    • Gmail (email communication)

  • Google Voice
    • Call answering and call routing

  • Spreadsheet-Based Tracking
    • No CRM currently in place; all tracking managed via Google Sheets

  • Required Skills & Qualifications
    • 2–4 years of experience in administrative or operations support
    • Construction industry experience preferred
    • Strong proficiency in Google Workspace tools
    • Excellent organizational and time-management skills
    • Strong written and verbal English communication
    • Ability to work independently and follow processes

  • Nice to Have
    • Experience supporting construction or contracting companies
    • Familiarity with U.S. permit submission processes
    • Experience coordinating with suppliers or vendors


Work Schedule

  • Contracted Hours per Week: 20 Hours
  • Scheduled Working Days: Monday through Friday (unless otherwise mutually agreed in writing)
  • Daily Working Time: 9 AM to 1 PM EST.

Note: The Company will make reasonable efforts to align the Assigned VA’s schedule with the Client’s preferred hours as set forth above. However, availability may vary based on time zones, capacity, and the contracted hours set in this SOW. Any changes must be mutually agreed to in writing through a revised SOW.

Terms of Engagement

  • Contractors will operate under a Master Services Agreement and a Statement of Work
  • This is not an offer of employment; contractors are not employees of 20four7VA or any client
  • All compensation is processed through 20four7VA according to the terms of the engagement
