About the position

Evercore Private Funds Group (PFG) provides comprehensive, global advisory and capital raising services to select private fund sponsors. PFG's clients include general partners pursuing a wide spectrum of alternative investment strategies and asset classes, including buyout, growth equity, private credit, infrastructure, energy and power, and real assets. PFG advises and executes on all aspects of the fundraising process, including competitive positioning and market assessment, preparation of marketing materials, investor introductions, and capital closings. Evercore is seeking an Administrative Assistant to support the Distribution professionals within the Private Funds Group in the New York office. This position is hybrid and overtime eligible.

Responsibilities

  • Provide high-level administrative support to Distribution professionals in the New York office.
  • Manage extensive calendar scheduling, including coordinating complex meetings across multiple time zones.
  • Organize and book frequent travel arrangements for team members, ensuring seamless logistics.
  • Process and reconcile monthly expense reports for Distribution professionals.
  • Assist in the preparation, printing, and shipping of materials on behalf of the Distribution team.
  • Liaise with internal and external parties on various projects and tasks, including handling complex scheduling requests.
  • Plan and organize client events, including cocktail parties, happy hours, dinners, and lunches.
  • Maintain strong communication and follow-up on outstanding tasks to ensure efficiency.
  • Collaborate with the broader Support Team to enhance operational effectiveness.
  • Answer emails and provide general administrative support as needed.

Requirements

  • Minimum of 5 years' experience in an administrative role, preferably in finance or professional services.
  • Mastery of Outlook, Teams, and Zoom; proficiency in Word and Excel; aptitude to learn new software and systems.
  • Strong experience managing complex calendars and travel coordination.
  • Excellent critical thinking and problem-solving skills, with a proactive approach to anticipating needs.
  • Exceptional time-management skills with the ability to coordinate multiple projects simultaneously and prioritize effectively in a fast-moving environment.
  • Strong written and verbal communication skills.
  • High attention to detail and accuracy in execution of responsibilities.
  • Flexible team player who is adaptable, highly energetic, and thrives in a dynamic, fast-paced setting.
