A law firm based in the USA is seeking a highly organized, discreet, and proactive Legal & Personal Assistant to provide comprehensive legal, administrative, and executive-level support to a busy criminal defence attorney serving on the New York State 18-B Assigned Counsel Panel. This is a remote position ideal for a detail-oriented professional who thrives in a high-responsibility role and can function as a trusted right-hand partner. Position Summary The Legal & Personal Assistant will manage legal workflow, court compliance requirements, billing administration, calendar coordination, and personal logistics to ensure the attorney’s professional and personal responsibilities are handled seamlessly and efficiently. This role requires strong judgment, confidentiality, and the ability to prioritize competing demands without disruption. Key Responsibilities Legal Assistant Duties Billing, Timekeeping & Compliance Track and log 18-B billable time (court appearances, motion practice, research, client communications, investigation, travel) Maintain contemporaneous billing records compliant with Assigned Counsel Plan requirements Assist with voucher preparation, review, and submission Legal Research & Drafting Conduct legal research (case law, statutes, procedural rules) Assist in drafting motions, affidavits, memoranda of law, discovery demands and responses Proofread filings for accuracy, formatting, and deadline compliance Case & Court Management Maintain organized digital case files Track court dates, deadlines, discovery schedules, and service requirements Communicate with courts, clerks, prosecutors, investigators, and experts Assist with subpoenas, transcript orders, FOIL requests, and record collection Calendar & Communication Management Maintain a comprehensive master calendar (court appearances, deadlines, meetings, personal commitments) Proactively identify scheduling conflicts Prepare daily and weekly summaries Serve as primary call handler Screen calls and prioritize urgent matters Manage communication logs and follow-ups Manage and organize email inbox Draft routine correspondence as directed Personal Assistant & Household Support Manage family and household calendars Coordinate school schedules and appointments Arrange travel (flights, hotels, itineraries) Track expenses Send bill reminders Coordinate with service providers Maintain task lists and reminders Required Qualifications Experience as a Legal Assistant, Paralegal, Executive Assistant, or Personal Assistant Strong organizational and multitasking abilities Excellent written and verbal communication skills High level of discretion and reliability Ability to work independently Proficiency in Microsoft Office and/or Google Workspace Preferred Qualifications Experience with legal billing Familiarity with criminal court procedures Legal research experience Prior support of a solo practitioner Paralegal certificate, LLB, or JD (a plus) Key Traits for Success Exceptionally detail-oriented Calm under pressure Proactive and solutions-focused Highly dependable Strong judgment and discretion Position Details Schedule: Part-Time (20 hours per week) with potential transition to full-time Location: Remote (USA-based firm) Compensation: USD $500 per month
