Role overview

We are looking for an experienced Office Administrator to keep our day-to-day operations running smoothly. You will be the first point of contact for customers and suppliers, support our surveying team, and manage core office processes such as enquiries, quotations, job scheduling, and general administration. This role suits someone who has worked in a technical office environment and enjoys being the organised hub of a busy team.

Key responsibilities

Customer enquiries and communication

Answer incoming calls and emails promptly and professionally

Qualify enquiries and capture accurate details (site, access, timelines, outputs required)

Maintain excellent customer service from first contact through to job completion

Quotations and job administration

Prepare and send quotes based on internal pricing and scope notes

Follow up quotations, log outcomes, and keep records up to date

Raise job packs and ensure all required information is collected before mobilisation

Support basic invoicing administration and purchase order handling (where applicable)

Scheduling and coordination

Assist with booking surveys, coordinating diaries, and confirming appointments

Liaise with site contacts regarding access, inductions, permits, and timing

Keep the team informed of changes and ensure jobs are planned efficiently

Office management and process improvement

Maintain accurate records across systems (CRM, job tracker, folders, templates)

Keep office supplies, filing, and shared documents organised

Help refine admin workflows and templates to improve speed and consistency

Support compliance admin such as document control, customer forms, and internal checklists

General support

Manage incoming and outgoing post and deliveries

Assist with reporting, spreadsheets, and document formatting

Provide ad hoc support to operations and management as the business grows

What we are looking for

Essential

Proven experience as an Office Administrator, Office Manager, or similar role

Confident handling quotes and job-related paperwork with high attention to detail

Excellent telephone manner and written communication

Strong organisation skills, able to prioritise and stay calm under pressure

Competent with Microsoft Office (Outlook, Word, Excel) and cloud-based document systems

Reliable, proactive, and comfortable taking ownership of tasks end-to-end

Desirable

Experience in a technical office environment (engineering, construction, surveying, facilities, fire and security, telecoms, or similar)

Experience using a CRM or job management system

Familiarity with basic invoicing processes and finance admin

Understanding of site requirements such as RAMS, permits, inductions, or compliance documents
