Cardiology Associates of Altoona, L.L.P is seeking a reliable and detail-oriented Online Scheduler to join our team remotely. In this role, you will be responsible for managing and scheduling patient appointments, coordinating with our medical team, and ensuring that all appointments are organized effectively to provide excellent service to our patients.

You will play a key role in ensuring that our office runs smoothly by scheduling appointments, managing calendars, and assisting patients in selecting suitable time slots for consultations. The ideal candidate will be highly organized, proactive, and possess excellent communication skills.


Key Responsibilities:

  • Appointment Scheduling: Schedule and confirm patient appointments for cardiology consultations, diagnostic tests, and follow-up visits. Ensure that all appointments are scheduled promptly and accurately.

  • Calendar Management: Maintain and update the schedules of multiple cardiologists, ensuring there are no overlaps or conflicts. Communicate any changes or updates to patients and the medical team.

  • Patient Communication: Answer and respond to patient inquiries via phone, email, or online portal. Provide clear and accurate information regarding appointment times, preparation instructions, and any necessary forms.

  • Data Entry: Accurately enter patient information, appointment details, and other relevant data into the practice management software.

  • Appointment Reminders: Send timely reminders to patients via email or text to confirm appointments and provide necessary pre-appointment instructions.

  • Rescheduling & Cancellations: Handle reschedules and cancellations promptly, ensuring that patients are offered alternative appointment times and that the schedule remains optimized.

  • Coordination with Medical Team: Collaborate with the cardiology team to ensure that patient needs are met and any special requirements (such as specific tests or preparations) are accounted for.

  • Problem Resolution: Address scheduling conflicts or issues as they arise, providing solutions that best serve both patients and the clinic’s operations.

  • Maintain Confidentiality: Ensure that all patient information is handled with the highest level of confidentiality, in accordance with HIPAA guidelines.


Required Qualifications:

  • High school diploma or equivalent required; additional education or certification in medical office administration is a plus.

  • Proven experience in scheduling or administrative roles, preferably in a healthcare setting.

  • Strong organizational skills and attention to detail.

  • Excellent written and verbal communication skills.

  • Proficient in using scheduling software, electronic health records (EHR), and other office productivity tools.

  • Ability to work independently, manage time effectively, and stay organized in a fast-paced environment.

  • Compassionate and professional phone etiquette when interacting with patients.


Preferred Qualifications:

  • Previous experience in a healthcare or medical office environment, especially in cardiology.

  • Familiarity with medical terminology and understanding of basic medical office procedures.

  • Knowledge of HIPAA compliance and patient privacy regulations.
