People Team (HR) Coordinator (or Manager)

The Luminos Fund, an international non-profit bringing education opportunities to the world’s most vulnerable children, seeks an experienced People Team Coordinator to support the HR function at Luminos.

The People Team Coordinator is a core member of the People team, responsible for coordinating and executing day-to-day people operations across the employee lifecycle. This role partners closely with the Global People Officer to ensure people processes are well-organized, compliant, and consistently applied across a globally distributed workforce.

The role requires strong operational judgment, attention to detail, and the ability to manage multiple workflows simultaneously. While this is a coordination-focused role, it carries meaningful responsibility and ownership. The scope of the role will expand based on experience.

This is a full-time position that can be based in our offices in Accra, Addis, or London, or remotely in a time zone from GMT to GMT +1. The People Team Coordinator will report to the Global People Officer and collaborate closely with team members throughout the organization. The role may involve some travel to challenging contexts in Africa and the Middle East.

Preference will be given to candidates with international HR experience gained in corporate settings, where rigor, documentation, and people-first values were core to the role.

Duties and Responsibilities

Recruitment & Hiring Operations

  • Coordinate end-to-end recruitment processes, including interview scheduling, candidate communications, and stakeholder follow-up.
  • Manage recruitment administration from requisition approval through offer preparation.
  • Maintain and manage the ATS, ensuring accurate data, timely progression, and reporting.
  • Coordinate background checks, reference checks, and hiring compliance requirements.

Contracts & Employment Administration

  • Draft and issue employment contracts, amendments, extensions, and related documentation.
  • Prepare and issue verification of employment (VOE) letters as needed.
  • Maintain accurate, up-to-date employee records and contract documentation.
  • Support benefits coordination in collaboration with external providers.

Onboarding & Offboarding

  • Coordinate onboarding workflows, including documentation, systems access coordination, and first-day readiness.
  • Ensure consistent onboarding experiences across all regions.
  • Manage offboarding processes to ensure compliance, documentation, and smooth transitions.

People Operations & Annual Cycles

  • Coordinate recurring HR workflows, including:
  • Annual reflections and performance processes.
  • Engagement surveys.
  • Compensation and promotion review cycles.
  • Track timelines, inputs, approvals, and follow-ups to ensure timely and consistent completion.
  • Prepare trackers, documentation, and materials to support people-related decision-making.

Leave Coordination

  • Coordinate medical, parental, and other leave processes across countries.
  • Track leave balances and eligibility in accordance with contracts and policies.
  • Draft routine correspondence related to leave, performance, and employment status.

Compliance, Governance & Record-Keeping

  • Maintain compliant and well-organized personnel records across regions.
  • Coordinate employment-related compliance processes with EORs, payroll providers, and legal counsel as needed.
  • Support audits, reviews, and defensible documentation of people-related decisions.
  • Proactively flag risks, inconsistencies, or process gaps.

Reporting & Data Management

  • Track, maintain, and prepare people data and reports for leadership and board use.
  • Maintain accurate headcount, turnover, and workforce planning data.
  • Ensure consistency across HR systems, contracts, and reporting outputs.

Communications & Change Support

  • Draft and coordinate internal HR communications, including policy updates, process changes, and announcements.
  • Support sensitive change communications such as role changes, transitions, and program closures.
  • Coordinate timelines and follow-ups related to leadership decisions.

Administrative & Strategic Support

  • Provide operational and administrative support to the Global People Officer.
  • Track and manage follow-up actions from people-related meetings and decisions.
  • Support people initiatives, projects, and process improvements as needed.
  • Coordinate annual staff gifts on behalf of the organization.

Skills & Experience

Required

  • At least five years of progressive experience in HR operations, people coordination, or a similar role.
  • Experience supporting the full employee lifecycle.
  • Strong experience working with HR systems (HRIS, ATS, performance tools).
  • High attention to detail and comfort handling sensitive and confidential information.
  • Strong written communication skills.
  • Ability to manage multiple workflows and deadlines simultaneously.
  • Experience working across time zones and cultures.

Preferred

  • Experience supporting globally distributed teams.
  • Familiarity with EORs and multi-country employment contexts.
