About the position

The Physician Experience Specialist will support the growth of RWJBarnabas Health Physician Recruitment Team by assisting with logistics of the recruitment process to result in more cost-effective, successful placement and retention of highly qualified physicians and advanced practice providers (APPs).

Responsibilities

  • Maintain a comprehensive list of all upcoming physician visits and communicate regularly with Physician Recruiters to ensure expeditious scheduling for candidates.
  • Serve as the liaison for the Physician Recruitment team during onsite visits for interviewing candidates, including but not limited to: Greeting candidate, escorting to appropriate meeting rooms, introductions, following interview schedule, picking up lunch, providing RWJBH branded giveaways post interview, and other day of tasks as needed.
  • Facilitate on-site visit for the physician candidates and family, including making arrangements for travel, lodging, welcome baskets, meals, developing itineraries for physicians, confirming meetings with administration, physicians and other staff members, and coordinating transportation as needed.
  • Support outreach to residents and fellows within Rutgers and RWJBarnabas Health including attendance and coordination of on-site workshops, orientation welcome sessions and system-wide webinars.
  • Assist with annual physician recruitment division retention event.
  • Manage coordination of exhibits at national and regional conferences including attendance at conferences to cover booth during exhibit hours, completing exhibitor applications and required documentation, working with Marketing to design and purchase relevant promotional materials, securing exhibit furniture, electricity, internet, as well as travel and accommodation for all attendees.
  • Support the marketing and advertising efforts for the recruitment of physician and APP positions across the health system.
  • Manage relationships and negotiate preferred rates with relevant vendors including hotels, car service, catering, etc.
  • Send post-interview evaluations to all participating interview panelists to collect feedback on candidate and share with physician recruiter.
  • Issue post-visit evaluations to physicians to collect feedback on interviewing experience.
  • Assist candidates with reimbursement process for incidental expenses incurred by candidate or spouse.
  • Maintain accurate documentation of all expenses for physician visits and travel and provide monthly reports to finance.
  • Participate in other duties and responsibilities as assigned by working closely with assigned Physician Recruiter or other team members.
  • Support with inventory of giveaway items, branded materials, and other marketing supplies.

Requirements

  • Minimum of a Bachelors Degree required.
  • Ability to communicate clearly and professionally, and present Department in a positive manner.
  • Excellent verbal and written communication skills, including superior grammar and proofreading skills.
  • Excellent interpersonal skills with the ability to engage at all levels of the organization.
  • Demonstrate a professional and adaptable demeanor with internal and external clients, including administrators, physicians, peers, and support staff.
  • Exhibit a high energy level, and demonstrate the ability to work as a team, with flexibility in work habits to schedule and meet the needs of the medical staff.
  • The ability to multi-task, plan and prioritize a large volume of detail-oriented work in accordance with changing deadlines.
  • The ability to work with minimum supervision, set priorities, and follow through to accomplish results.
  • Strong computer technology skills including, but not limited to, Microsoft Outlook, Microsoft Word, Excel, and PowerPoint.
  • Demonstrated ability to conduct Internet research in an efficient, productive manner.
  • Valid driver s license required and means of transportation.
