About the position

The Program Coordinator for USAID at the Institute of International Education (IIE) plays a crucial role in supporting the administrative and financial processes across IIE's portfolio of USAID-funded projects. This position is integral to facilitating international education initiatives that align with USAID's development goals in education, economic growth, and democratic governance. The coordinator will work closely with team members to ensure smooth operations, manage logistics, and maintain accurate records, contributing to the overall mission of fostering peaceful and equitable societies through education.

Responsibilities

  • Interact with team members to arrange and schedule office and team meetings, including coordinating schedules and preparing meeting materials.
  • Draft and prepare standard office correspondence and other written materials, proofreading and editing for accuracy.
  • Provide finance, administrative, and logistical support to the USAID portfolio of projects, maintaining accurate records.
  • Administer payment requests and invoices, processing expense reports and scheduling payments.
  • Coordinate travel arrangements for participants on USAID-funded projects, ensuring compliance with J1 visa regulations.
  • Support the IIE team in administering orientation programs and re-entry workshops.
  • Update and maintain office databases, records, and reports, creating reports for internal and external use.
  • Update procedural documents and manuals related to finance, administration, and logistics.
  • Provide coordination support for developing project newsletter content and monthly highlights.
  • Maintain and update program website(s) by coordinating with colleagues regarding content.

Requirements

  • Associate's degree and at least two years of related work experience, or a combination of education and experience.
  • Good organization skills with high attention to detail.
  • Ability to work on and prioritize multiple tasks under pressure and meet deadlines.
  • Good written and verbal communication skills.
  • Intermediate knowledge of Microsoft Office Suites.
  • Ability to interact with all levels of team members and external contacts, sensitive to cultural differences.
  • Ability to exercise discretion on confidential matters and demonstrate sound judgment.
