Title: Office Manager 
Term Time: Full time
Location: London, Mayfair 
Salary:  £40,000 - £50,000 DOE
 
My client is looking for a diligent and organised Russian speaking Office Manager for a stunning Single Family Office in the heart of Mayfair. 
There is very little staff turnover with this client and people stay with them for a long time. This is because the client is a lovely family that surround themselves with positive and hard working people. 
 
What you will be doing:
  • use a range of software, including email, spreadsheets and databases, to ensure the efficient running of the office
  • manage administrative systems, such as record management
  • record office expenditure and manage the budget
  • organise the office layout and maintain supplies of stationery and equipment
  • maintain the condition of the office and arrange for necessary repairs
  • organise meetings and from time to time and partake in typing the agenda and taking minutes, but family members usually have an administrative assistant to do this
  • oversee the recruitment of new staff, including training and induction
  • write reports for senior management and deliver presentations
  • review and update health and safety policies and ensure they're observed
  • check that data protection laws are being adhered to in relation to the storage of data, and review and update policies
  • arrange regular testing for electrical equipment and safety devices
  • keep track of everybody's holiday allowances 
  • check all the staff's credit card expenses (not do the expenses for them but just check they did them)
  • go through monthly invoices and prepare funding reports
  • help all family members with visa applications for travelling as well as renewing passports 
  • carry out ad hoc research as requested by the family 
  • help out at big events. During big events it's all hands on deck and the entire team help
Who are we looking for
  • Russian and English speaking 
  • at least 3+ years experience as Office Manager for a Family Office or as PA/EA for a private individual 
  • checkable references 
  • the legal right to work in the UK
  • clean DBS record
  • positive, agile, optimistic, diligent, hard working
