Job Description:

I'm the managing broker of BFLO Realty, a boutique real estate firm headquartered just outside of Buffalo, NY in the Village of Williamsville. I'm looking for a reliable virtual assistant with real estate experience to handle day-to-day operations so I can focus on closings and growth. This role starts immediately and involves 10-15 hours per week, with potential to grow. Must be available during EST business hours.

Key Responsibilities:

MLS updates: Pause/resume listings, review active office listings, pull comps.

Agent recruiting: Post job ads on LinkedIn/Facebook groups, direct marketing using Real Geeks CRM.

Website management: Real Geeks edits for BFLORealty.com and WordPress edits for BuffaloCityLiving.com (remove listings, add newsletter signups via MailChimp, post weekly lifestyle articles).

Administrative assistance: Log in accounting software, draft/send contracts for digital signing (Authentisign), order supplies (e.g., home repair materials, marketing collateral, etc.).

Email/voicemail triage: Clear backlog (1,000+ unread emails), flag urgents, draft replies.

Calendar management: Sync Calendly links (seller/buyer/investor/other consultations) with Google Calendar, schedule intro calls via email, text and phone with prospective clients and agents.

SOP creation: Format onboarding packets, agent agreements.

Misc: Prep property folders, rebrand social media, handle basic bookkeeping like bank deposit logs.

Requirements:

2+ years supporting real estate offices/brokers (Buffalo/WNY market knowledge a big plus).

Proficient in: MLS systems, Real Geeks or similar CRM, WordPress, Buildium (or similar Property Management software), Google Workspace, Calendly, Mailchimp, DocuSign/Authentisign, LinkedIn/Upwork for outreach.

Detail-oriented, proactive, and able to work independently – no hand-holding.

US-based preferred for time zones and market familiarity.

Comfortable with AI tools (e.g., Zapier for automation) is a bonus.

Rate: $25–$30/hour, depending on experience. Paid weekly via Upwork.
