Offshore Support Role – Ray White Parramatta Group

Ray White Parramatta Group is seeking a highly experienced Senior Administration Coordinator to support our high-volume sales team and play a key role in delivering seamless real estate transactions from listing to settlement.

This is a senior-level support role suited to candidates with strong Australian real estate process knowledge and proven experience managing multiple transactions simultaneously.

You will be working closely with some of Western Sydney’s leading real estate professionals in a performance-driven environment.

Role Overview

You will take ownership of managing sales transactions end-to-end while ensuring compliance, efficiency, and exceptional client service standards are maintained.

Key ResponsibilitiesTransaction Management

  • Manage property sales from listing to settlement
  • Prepare agency agreements, contracts, and compliance documentation
  • Liaise with solicitors, conveyancers, buyers, and vendors
  • Monitor key milestones and deadlines
  • Ensure regulatory compliance with Australian real estate legislation
  • Manage contract exchanges and settlement preparation

Listing & Campaign Coordination

  • Oversee listing uploads across major real estate platforms
  • Coordinate marketing campaign execution
  • Manage campaign reporting and performance tracking
  • Liaise with marketing suppliers and internal stakeholders

Team & Client Liaison

  • Act as a central communication point between agents and clients
  • Provide high-level administrative support to senior sales agents
  • Maintain CRM accuracy and database integrity
  • Assist with auction and open home preparation

ESsential Requirements

- Minimum 2–3 years Australian real estate transaction coordination experience
- Strong knowledge of Australian sales compliance and contract processes
- Experience using CRM systems such as Agentbox, VaultRE, or similar
- Exceptional organisational and time management skills
- Ability to manage high transaction volumes with minimal supervision
- Excellent written and verbal English communication skills
