Although this is a non-compensated internship, it will help prepare the Intern for real-world situations while providing college credit and comprehensive professional experience. We’re looking for a self-starter who is comfortable working in a cross-functional environment, both autonomously and as part of a team.

  • Approximately 10-15 hours/week (Occasional weekend support as needed, however rare unless preferred), minimum of 1 term (3 months), a commitment of multiple terms preferred.
  • Interns' working hours are 100% virtual from home. Must be available for the Topia All Hands Meeting on Tuesdays at 7:30 PM Eastern Standard Time.

Internship Milestones & Review:

To support mutual fit and a positive experience for both the intern and Topia, all internships include an initial 30-day introductory period. During their first week of onboarding, interns are expected to schedule a 30-day check-in review with the CEO. This conversation focuses on feedback, growth, expectations, and overall alignment moving forward.

Job Description:

At Topia, we are seeking an Operations Team Leader/Project Manager with organizational skills, written and verbal communication skills, the ability to anticipate needs, work independently, and prioritize workload. A high level of professionalism, a positive attitude, and confidentiality are crucial in this role.

Essential duties, responsibilities, and projects:

  • Internships are 100% virtual
  • Management of calendar, social media, and marketing content-email and travel for Utopia providers
  • Coordination of Operations-***prompt response and attention to detail** appointments, client and provider scheduling, confirmation and follow up communication; assist clients with booking appointments and using our web portal
  • Customer-facing support: taking calls, scheduling appointments, coordinating with the wellness team
  • Providing quotes
  • Event Follow-up
  • Business Follow-up calls & client support
  • Client and Review Follow-up
  • Additional duties as needed
  • Social media support
  • Website updates
  • Admin duties as assigned
  • Daily and weekly team calls or email check-ins
  • Must have a working environment that is free from noise and interference when needed
  • Personal support/home office assistance
  • Prioritize assignments and delegate tasks on a daily basis
  • Improve internal processes and streamline business functionality by researching current industry trends and using that insight to form relevant, actionable solutions
  • The ability to manage staff, create policies, and provide helpful services for employees

Requirements:

  • Students majoring in Business, HR, or a related industry, or recent graduates looking to gain experience
  • Works well under pressure
  • Strong communication skills, both written and verbal
  • Experience with social media platforms: IG, FB, Twitter, (Constant Contact/Mailchimp/WordPress/blogs preferred
  • Professional, adaptable, and a self-starter with a positive attitude
  • Technical: Google Suite/Google Calendar, Google Slides, Microsoft Suite/PowerPoint
  • Due to access to passwords and confidential information, new hires are required to complete a non-disclosure agreement and background check form
  • Team leadership
  • Business management
  • Communication skills (able to address employee questions and issues and respond to staff feedback, as well as deliver instructions in a clear and concise manner)
  • The ability to de-escalate and troubleshoot advanced customer issues
  • Lean manufacturing (the ability to boost efficiency without sacrificing productivity)

Standard Intern Requirements:

  • Daily Slack updates starting the 1st week (on working days)
  • Our internships are 100% virtual, with the exception of weekly team meetings or occasional/special projects’ meetings
  • Interns are 100% responsible for checking in(on Slack) at their agreed-upon start time for their scheduled workdays. Checking in is considered showing up for work; not checking in is considered not showing up for work.

Evaluations & Coaching:

There will be informal evaluations throughout the term as well as one final evaluation at the end of the program, intended to provide business coaching, feedback, and professional development.
