We are searching for a seriously organised Studio Assistant (on a part-time basis Tuesday - Thursday 8.30am-5.30pm) to support our Singapore teamand be the welcoming face of the agency.

ABOUT YOU:

The Studio Assistant provides essential support across all agency departments to ensure the smooth, efficient and productive operation of the Singapore studio.

FRONT OF HOUSE:

  • General front of house duties, such as greeting visitors
  • Receive, distribute and send all mail and deliveries
  • Organise hospitality for clients and the senior team, including ordering lunches, setting up

boardrooms and serving refreshments

FACILITIES:

  • Manage all office facilities and supplies
  • Monitor cleaning services to ensure all tasks meet high standards
  • Maintain a tidy, presentable studio environment at all times
  • Coordinate maintenance and repairs, liaising with the landlord as needed
  • Order stationery, water bottles, pantry items, and cleaning supplies

FINANCE AND ADMINISTRATION

  • Send new vendor forms and set up on all internal systems
  • Submit vendor invoices to finance for processing
  • Issue and maintain supplier agreements and NDA’s
  • Collate invoices and assist with credit card reconciliations

PEOPLE:

  • Collaborate with People and IT teams to set up desks, access cards and equipment for new

employees, and manage returns when employees leave

  • Conduct office inductions for new starters, including tours and health and safety briefings
  • Maintain up-to-date health and safety procedures, including fire regulations and warden duties
  • Send daily office attendance updates
  • Assist People and IT teams with ad hoc requests as needed

TRAVEL:

  • Organise travel bookings including flights, accommodation and taxis
  • Understand upcoming travel schedules and secure cost-effective options
  • Arrange currency, travel visas and vaccinations as necessary
  • Create itineraries, update calendars and log travel arrangements
  • Research and source new local amenities and restaurants

EVENTS:

  • Assist in planning, coordinating, and executing office events in partnership with the Culture Club
  • Support organisation of client functions and workshops
  • Coordinate Tuesday morning meetings
