<p> Workplace Operations Specialist 12 Month FTC<br /> <br /> We are seeking a Workplace Operations Specialist to join our Berlin office for a 12-month​ parental leave. In this role, you will ensure the smooth running of our daily workplace operations and support the resolution of outstanding build‑out issues in collaboration with our general contractor and external partners. You will report directly to the Workplace Manager in Berlin and also support the EMEA Operations Manager to ensure alignment of standards, processes, and initiatives at a regional level.<br /> A key part of your responsibility will be to establish and document standards and processes that lay the foundation for seamless daily operations, ensuring long‑term consistency and efficiency in our workplace environment. This is an excellent opportunity for someone with strong project management skills who is passionate about creating an exceptional workplace and enjoys solving problems in a complex operational setting.<br /> <br /> Key Responsibilities<br /> Project Management & Remediation<br /> • Lead and coordinate all corrective actions related to office build‑out issues, working closely with the general contractor and specialist vendors to help ensure timely and high‑quality resolution.<br /> • Develop, monitor, and manage project timelines, budgets, and deliverables for remediation work.<br /> • Act as the main point of contact for all project stakeholders, providing regular status updates to the Workplace Manager, EMEA Operations Manager, and leadership team.<br /> • Help ensure all corrective works are compliant with local regulations and internal standards.<br /> • Document lessons learned and implement preventive measures to avoid recurrence of similar issues.<br /> Standards, Processes & Continuous Improvement<br /> • Establish, document, and implement operational standards and processes to enable smooth and efficient daily operations.<br /> • Ensure that local processes and standards are aligned with regional EMEA guidelines and best practices.<br /> • Continuously review and optimise workflows to improve service quality and operational consistency.<br /> • Train team members and stakeholders on newly implemented processes and best practices.<br /> Workplace Operations<br /> • Oversee daily workplace operations to help ensure a safe, functional, and welcoming environment for all employees.<br /> • Manage preventative and corrective maintenance programs, coordinating with internal teams and external service providers.<br /> • Conduct regular facility inspections and audits, addressing any issues proactively.<br /> Vendor & Stakeholder Management<br /> • Own relationships with facility vendors, service providers, and contractors, helping to ensure service quality and cost‑effectiveness.<br /> • Negotiate contracts and manage vendor performance, including holding vendors accountable for remediation works.<br /> • Liaise with cross‑functional teams (e.g., IT, Security, Workplace Experience) to support operational excellence.<br /> Compliance, Safety & Reporting<br /> • Help ensure compliance with all health, safety, and environmental regulations.<br /> • Maintain accurate documentation of maintenance, incidents, and project progress.<br /> • Provide regular reports and analytics on operational KPIs, project milestones, and risk assessments to both local and regional managers.<br /> Requirements (Must‑Have)<br /> • 5+ years of experience in Workplace Operations, Facilities Management, or a related field (ideally with experience in project management and office fit‑out/remediation projects).<br /> • Proven track record of successfully managing complex projects, including corrective works, vendor coordination, and technical engineering aspects.<br /> • Experience in developing and implementing operational standards and processes.<br /> • Strong organisational, analytical, and problem‑solving skills, with reliable follow‑through on tasks.<br /> • Effective communication and stakeholder management abilities in English, and preferably in German, sufficient to collaborate with local vendors and internal stakeholders.<br /> • Able to work effectively both independently and as part of a team.<br /> Preferred Qualifications (Nice to Have)<br /> • Service‑oriented approach and ability to successfully interact with diverse groups and cultures.<br /> • Self‑motivated and empathetic.<br /> • Experience managing multiple priorities in a changing operational environment.<br /> • Proficiency in workplace management tools (e.g., CMMS, G‑Suite, MS Office).<br /> • Experience with compliance, health & safety standards, and facility audits.<br /> • Project Management certification (e.g., PMP, PRINCE2).<br /> • Experience in managing office fit‑outs, refurbishments, or remediation projects in Germany.<br /> • Knowledge of local building codes and regulations.<br /> Inclusion is a Netflix value and we strive to host a meaningful interview experience for all candidates.
